• Raising purchase order under General Supplies I.e. Production, Ordering of Stationery / Pantry items etc.
• Arranging both local & overseas courier services. (DHL, OCS & others)
• Filing of delivery orders, invoices, getting invoices approve to submit to accounts dept. for payment and proper closure purchase order in server.
• Control of locker keys. Issuing and updating of locker keys and maintain updated records in server.
• Liaising with vendors / suppliers should there be a need for related Purchase orders.
• Preparation and application of Jurong Island passes to suppliers / vendors.
• Photocopy and fill up the trays of various forms when it runs out
• Set up meeting room for daily morning meeting.
• Housekeeping and managing the CCR’s general affairs
• Changing of toner cartridge for printer or photocopier or fax machines as and when needed.
• Manage CCR office & CCR photocopier machine like paper inventory.
• Call up respective supplier for maintenance services if any machine is faulty ie Printers, Photocopiers or fax machines, Vending machines, Water dispenser, Air Conditioner and Whiteboard (marker pen & duster)
• Liaising with cleaners regarding CCR cleanliness
• Food catering, liaising with the administrative dept. regarding the lunch or refreshment arrangement as and when needed.
• Daily faxing of Lunch to catering and any other added orders, refax to catering.
• Collection of lunch money from the production staff during the lunch time for their lunch.
• Collection of document from admin office in the afternoon and distribute to the respective personnel. And pass all documents collected at CCR office to admin office.
• Deadline of submission of Medical Claim and Overtime Claim
• Providing administrative support to the management
• Disseminate of incoming fax to respective personnel
• Issuing of memo and put up at the notice board as and when instructed.
• Screening of incoming calls and make sure Fuji Xerox send their meter reading form
• Collection petty cash claim and pass it to respective personnel as when needed.
• Diploma Nitec in Business or any relevant discipline
• At least 3 years admin support working experience
• Meticulous, detailed and good in MS Office
• Able to start work immediate basis
