Overall purpose of job :

  • To provide clerical and administration support to the Production Manager and Assistant Production Manager in the day-to-day operation of the department.
Main activities / tasks (Principal accountabilities) :

  • Administers time and attendance records for all levels in Centres 13 14, 39, 44 and 05.
  • Checks and keys-in job sheet and adjusts labour enquiries into the computer system.
  • Checks long hour gratuity for the Senior Foreman / Foreman Engineers / Foremen / Asst. Engineer for Centres 13 and 14.
  • Records Chargemen and workmen daily attendance and overtime for all Centres.
  • Based on records submitted by all Foremen, checks and keys in the labour distribution and overtime to the VAX System including material requisition, gate passes, job sheets and crane booking.
  • Keep records, distribution and filing of department documents for the Production Manager.
  • Updates department safety and general notice board.
  • Maintains attendance of leave records for all centres.
  • Collects mails and Photostats documents.
  • Maintains availability of forms, permits and stationary in the department.
  • Reconciles cost and clocked hours.
  • Update employees leave entitlement and maintain leave records.
  • Responsible and accountable for updating all operations white boards with new information.
  • Carries out general clerical works including typing, faxing and photocopying documents.
  • Performs typing of all memos and general paper work.
  • Comply with all statutory requirements as well as in-house Health, Safety, Environmental & Quality (HSEQ) programmes.
  • Report all sub-standard conditions, equipments, practices and incompatible work processes.
  • Report all injuries, however minor and near misses to their supervisors.
  • Participate in all planned HSEQ programmes.
  • Any other associated tasks and responsibilities assigned form time to time.
Requirements:
  • At least 2 years’ working experience in a similar capacity.
  • Computer literacy is a must.  Good contacts with other clerical staff from other departments.
  • General working knowledge of department’s filing systems.  Must have good application knowledge of Windows software i.e. Word, Excel, Access.
  • Good to have knowledge of company’s Human Resource Policy and Procedure governing terms & conditions of employment.
  • Ability to type 30 words per minute.  Must possess excellent telephone etiquette, good listening skills and good skills in organizing routine work and co-ordination with user departments. 
  • High level of interpersonal skills with moderate level of written communication skills.  Ability to interact with diverse employee groups and handle heavy loads of work in a fast-paced work environment. 
  • The ability to communicate in either Mandarin, Tamil or Malay would be an added advantage. (in order to handle queries, concerns and feedbacks from Mandarin, Tamil or Malay speaking counterparts in regards with the administrative related matters.)
