JOB SCOPE

Responsibilities for Visual Media/Communications – invoice/budget administration:

  • Check accuracy of quotations, obtain verified signatures/approvals and record in Accrual List or Master Monthly reconciliation
  • Check accuracy of invoices and fill in details of campaign name, GL code, category on invoices and raise RFD
  • Follow-up with Vendors for  outstanding invoices/necessary accruals monthly
  • Process invoices by sending to VP Finance (when necessary), Procurement Department and Finance Department

Responsibility for Visual Media/Communications – SAP Processes

  • Data Entry in to SAP for creative production purchase requests
  • Raising PR/PO and billing to various department via inter-dept
  • Filing and management of Quotes &  DO – to be sent for Goods Receipt
  • Liaising with Procurement & Finance for all SAP entries
  • Monthly reconciliation for Cognos report
  • Cognos categorizing into various Marketing budgets

General Admin & Misc.

  • Perform a variety of administrative and general office management tasks independently, such as preparing and collating reports, notices, minutes, correspondence, documentation, requests-for-proposal, questionnaires and tenders.
  • Coordinate with team members to schedule meetings, conference calls, and maintain electronic calendars.
  • Pro-actively handle all incoming queries in a timely and accurate fashion
  • Manage faxes, reports, and incoming mail, create and maintain updated file records, documents and drawings.
  • Coordinate with internal departments to obtain office equipment and supplies.
  • Coordinate travel arrangements and expense reports.
  • General coordination with all internal stakeholders and departments on group orders of collateral for seasonal occasions for example ordering of Festive cards, Red packets etc.
  • Management of VR Roster for department, addition and deletion and including passing documents of leave and MC to HR department
  • Ordering of stationery
  • Management and co-ordination of mail operations – by Fedex /courier etc.
  • Creating requests for IT Department – office equipment, phone, etc.
  • Creating Maximo and co-ordination for office maintenance with Facilities department
  • Handling phone requests/enquiries for department

JOB REQUIREMENTS

  • Possess 3-5 years of prior working experience in corporate and administrative support
  • Competent in Outlook and Microsoft Office program (Word, Excel, PowerPoint)
  • Proficient in spoken and written English
  • A team player who is willing to support all teams under the Communications Division
  • Able to provide support on some evenings and weekends during events supported or organized by Communications
  • Possess a well-groomed and professional appearance
