Job Purpose:
Within a fast-growing business, this role will be supporting the Singapore team and will serve as a valued business partner to the wider Softbox global business.
As a key employee at the Singapore office, this role is responsible for supporting the day to day activities of the business, following procedures and controls to ensure the unit operates effectively, orders and administrative tasks are processed in a timely and efficient manner, and that Business Performance and results are properly reported.
Main Tasks and Responsibilities:
Accounts Payable and Receivables
  • Accurately enter invoices on system (Xero).
    • Ensure payments are matched to invoices accordingly
    • Ensure prepayment periods applied consistently
  • Prepare and process monthly and ad-hoc payments, reconciling to purchase ledger
  • Create new supplier accounts
  • Reconcile supplier and customer statements
  • Dealing with purchase enquiries and working closely with external/internal suppliers to resolve outstanding queries
  • Providing assistance for sales invoicing and new customer accounts
General Accounting
  • To accurately produce and maintain soft copy and hard copy filing systems, support for annual audit
  • Process expense claim forms
  • Produce Month End Reconciliations, support with monthly and weekly reporting, maintain monthly inventory control in coordination with the warehouse and suppliers
  • Supports Singapore team in closing out month and ad hoc general ledger functions
  • Reconcile bank accounts on at least a weekly basis
Suppliers and Procurement
  • Providing a link between sales and operations to support with product availability, manufacture lead times and stocking information
  • Working with global and domestic logistics companies to obtain freight quotations
  • Maintain sufficient stock levels as per company guidelines and coordinate / process orders with our key suppliers
  • Support the business in sourcing new suppliers and/or improving current procedures when applicable
Administrative support
  • Support with all general administrative tasks. Undertaking activities required to support the business that may include:
  • Compile, maintain and update all documentation for company business registration, leases, insurance, service contracts at specified date of renewal and producing detailed financial information on a spreadsheet
  • Coordinate and schedule various services contracts required for day to day operations
  • To take part in all identified training to ensure skills are in line with the job role and any future changes

Experience and qualifications
  • Graduate Qualified in Business or related degree
  • Prior experience in working in a similar support role in B2B
  • Fluent Mandarin to handle queries, requests and concerns from Mandarin speaking customers and suppliers in greater China.
  • Reliable and friendly and happy to work in a small team
  • Good verbal and written communication skills
  • High attention to detail and proven record of suggesting improvements
  • Strong IT and analytical skills. Competent in MS Word, Excel and Outlook
  • Familiarity with Xero
  • Manufacturing, Pharmaceutical and supply chain business experience
  • Experience of a month end timetable environment
  • Good understanding of general ledger accounting, accounts receivable and accounts payable systems
