Shootsta is looking to hire an experienced EA to our CEO in the Singapore office.
We need a driven and forward-thinking individual who has a proactive and flexible ‘can-do’ attitude with a high level of attention to detail.
You will be able to anticipate the CEO’s needs and proactively take necessary action and have it done before he has even asked.
The candidate will be our CEO’s right-hand man or woman and we are looking for someone who thrives on getting the job done and done right!
What you’ll need to succeed
You will have a solid career in Administration, particularly in a fast-paced environment. Ideally, you will have exposure working within a video production/TV environment but not essential. keen sense of urgency and attention to detail is paramount. You will be managing the CEO’s time that is spread across 4 continents, so this is not a traditional 9-5 role as we operate in many different time zones.
  • At least five years’ experience supporting a high profile executive in a similar Executive Assistant role
  • Strong professionalism both in conduct and communication 
  • Knowledge and experience working with the Google Suite of products.  Experience with Xero, HubSpot and Slack preferred but not essential
  • Advanced experience with calendar management across multiple time zones
  • Utmost attention to detail with an excellent command of written and spoken English
  • Be highly responsive, discrete and dependable 
What you’ll need to do (but obviously not limited to)
  • Manage the CEO’s email inbox. You will be responsible for keeping his emails up to date, replying and delegating in a timely manner
  • Act as the gatekeeper for the CEO’s calendar of appointments/meetings and respond appropriately to changing priorities and timeframes
  • Set up conference/video calls between external stakeholders, partners and Shootsta team members in various country locations
  • Minute taking at board and other meetings as directed by the CEO. Compiling and circulating Board paperwork and reports
  • Expense management, which includes submitting expense reports and receipts in a timely manner
  • Coordinate travel for the CEO and wider Shootsta VP team as required. Arrange detailed travel plans, agendas, and compile documents for travel-related meetings 
  • Be available (within reason) outside business hours. The CEO is ‘always on’ so you need to be available to take his call or respond to his message and ensure his request is actioned
  • Liaise with the Shootsta offices around the globe in implementing and maintaining procedures/administrative systems
  • Take on adhoc business and personal administrative tasks as required
