Job Description:

As part of the Academic Clinical Programme Office to provide executive support for the educational programmes and initiatives of National Dental Centre Singapore (NDCS), the Oral Health Academic Clinical Programme (ORH ACP) and the College of Clinical Dentistry (CCD).
Oral Health ACP
  • Provides administrative support to the Vice Chair and Directors of Education
  • Collates and reports promptly the ACP Education related Key Performance Indicators (KPIs)
  • Schedules and coordinates meetings
  • Prepares agenda for meetings and prepares schedules
  • Records, compiles, transcribes and distributes minutes of meetings
  • Prepares and modifies documents including correspondence, reports, drafts, memos and emails
  • Assists in the organising of education related events/activities
  • Assists in the submission and implementation of ACP education core and program grants
  • Assists in monitoring and reporting of ACP education funds claim promptly
  • Collates, analyses and prepares report on students’ survey and feedback
  • Disseminates information on faculty development courses and funds availability to educators
  • Handles the internal application process for faculty development courses and tracks the funds utilisation
  • Coordinates with AM.EI (Academic Medicine Education Institute) on faculty related matters
  • Participates in AM.EI education activities/events
  • Liaises with Duke-NUS pertaining to the conferring of academic appointments for educators
Auxiliary Programmes
  • Coordinates with Institute of Technical Education (ITE) to plan and execute the respective training programmes
  • Assists the Head of Programme to manage the running of the programme at NDCS
  • Handles administrative matters pertaining to the training programme
  • Assists in the road shows and publicity for the training programme
  • Attends to enquiries pertaining to the training programme
  • Prepares for enrolment of trainees and orientation requirements
  • Maintains the enrolment register and trainee records
  • Schedules meetings
  • Assists in appointment of trainers for the training programme
  • Prepares and maintains the timetables and lesson plans
  • Handles the budget planning and expenses reimbursement related to the training programme
  • Coordinates with ITE to prepare and administer the exams for the respective training programmes
  • Coordinates the setting, collecting and marking of the examinations papers
  • Sets up the examination venue
  • Maintains the exam results database and records pertaining to exam matters
  • Collates, analyses and prepares report on students’ survey and feedback
  • Assists the Head of Programme to plan and organise relevant events, including graduation
  • Handles submission of reports required by Singhealth/SGH Education Office for PECT, etc
Education Awards
  • Provides administrative support to the Education Awards selection panels
  • Prepares materials and references required by the selection panels
  • Coordinates and makes necessary preparations for the awards presentation
Education Day
  • Coordinates the organising of the annual Education Day
  • Handles correspondences, publicity and administrative matters related to the event
  • Ensures timely planning and adequate preparations for the event
General
  • Participates in ACP meetings, projects and events as required
  • Supports implementation of ACP initiatives to promote education in the Centre
  • Performs any other ad hoc duties and tasks as and when assigned by Supervisor
Requirement
  • Degree in any field
  • 1 to 2 years of healthcare related experience preferred.
  • Meticulous with good interpersonal and communication skills.
  • Able to perform duties under minimal supervision
