Job Description:

  • Maintaining of meeting rooms and facilities across all offices.
  • Ensuring all pantries are kept clean and tidy and that refreshments are regularly stocked up. 
  • Process & distribute documents and mail.
  • Monitor inventory and order office supplies and pantries refreshments using Purchase Order & Vendor Systems.
  • Maintain filing systems for all contracts.
  • Prepare and process travel, entertainment and other business-related arrangements expense claims.
  • Organise and arrange logistics for company retreats and events.
  • Handle other ad hoc tasks and participate in projects whenever necessary.
  • Minimum Diploma (Business/Hospitality preferred).
  • Proven experience as office coordinator or in a similar role will be a plus.
  • Able to maintain confidential information.
  • Independent and flexible with a problem-solving attitude, able to work well in a fast-paced environment.
  • Able to work under pressure and meet tight deadlines.
  • Observant, positive, resourceful, willing to learn and a team player.
  • Highly organised, detail-oriented, strong sense of responsibility and initiative.
  • Proficiency in Microsoft applications (ie. Outlook, Word, Excel, Power Point, etc).
  • Strong interpersonal and communication skills, able to communicate at all levels, excellent command of written and spoken English.
  • Possess good email etiquette.
